AI provider disclosure

Provider-neutral beta disclosure. DeepSeek may be used in prototype/beta, but workflows must stay replaceable.

RoomKeeper uses AI models and rule-based systems for extraction, classification, summaries, and drafts. In prototype or beta, the current provider may include DeepSeek, but the provider can change later because RoomKeeper uses a provider-replaceable architecture.

AI processing is used for rental-admin tasks only. AI output is assistive and reviewable, not final financial or legal truth. Important financial and legal-sensitive actions require landlord confirmation.

RoomKeeper should not be used for general chatbot questions. It should redirect non-rental requests back to rental admin.

Data minimisation

Minimum internal policy for AI context and durable records.

  • Send only relevant context to AI for the specific rental-admin task.
  • Avoid sending full historical chat unless necessary for the task.
  • Avoid sending full bank statement raw data when deterministic matching is enough.
  • Use aliases or redaction where practical before AI processing.
  • Do not expose one tenant's data to another tenant.
  • Store durable business memory in the RoomKeeper database, not model memory.
  • Keep confirmed records linked to source evidence and landlord confirmation.

Safety disclaimers

Concise limitations that should remain visible before beta demos.

  • RoomKeeper does not provide tax advice. Review with an accountant or tax agent before lodging.
  • RoomKeeper does not provide legal advice and does not create lawful notices for you.
  • RoomKeeper is not a property manager and does not replace your rental obligations.
  • Financial records should be confirmed against bank evidence before relying on them.
  • Tenant payment claims are not confirmed payments. A tenant saying they paid does not update the ledger.
  • Review important records with the right professional before relying on them.

Short Group Intro
RoomKeeper is included in this group to help organise rent, maintenance, and room-related records. It only processes property-related messages and does not act as a general chat assistant.
Formal Privacy Notice
RoomKeeper may process property-related messages in this group to help the landlord organise rent, maintenance, room-related records, receipts, review items, and audit history. RoomKeeper is used for rental administration only and does not act as a general chat assistant. Important financial or legal-sensitive records require landlord review and confirmation.
Landlord Explanation
I use RoomKeeper to organise rental-admin records. In Forward Mode, tenants do not need to join RoomKeeper groups; I only forward relevant rental messages and documents when they help keep rent, maintenance, receipt, and audit records organised.
Tenant Faq Snippet
Tenant FAQ: RoomKeeper helps organise rental-admin records from property-related messages and files. It does not act as a general chat assistant, does not confirm payments from tenant claims alone, and does not provide legal, tax, accounting, or property-management advice.
